Appointment Request & Guidance Portal
The appointment request system is dedicated to students of Sant Baba Bhag Singh University (SBBSU) for seeking guidance, counselling, welfare support, and grievance redressal with the Office of the Deputy Director, Student Welfare (Girls).
Students must provide authentic, accurate, and complete details regarding their university credentials (Roll Number, Course, Semester, and Contact Details). Misrepresentation, falsification, or frivolous submissions may lead to immediate cancellation of the appointment and potential reference to university disciplinary authorities.
Submitting a request does not guarantee automatic confirmation for the selected time slot. Confirmation and slot allocation depend strictly on the official schedule and availability of the Deputy Director.
This portal is not monitored for real-time emergency dispatches. In cases of immediate medical, security, or safety emergencies, students must contact university security, hostel wardens, the Chief Warden, or institutional emergency helplines directly.
The university reserves the right to restrict or block portal access for any student found misusing the platform.
The system collects essential academic and identity details (Full Name, Roll Number, Department, Phone Number, Email ID, and description of the matter) strictly to coordinate official appointments.
By checking the confirmation box and submitting this form, the student provides explicit consent to the Office of Student Welfare to process their personal and academic data for the sole purpose of scheduling, managing, and resolving the requested appointment.
All personal submissions, counselling notes, grievances, and uploaded supporting files are treated with strict confidentiality and are restricted solely to authorized student welfare officials.
Student data is never shared with external third parties for commercial or marketing purposes. Information is only shared internally with relevant statutory bodies (such as the Grievance Redressal Committee or Internal Complaint Committee) if strictly required to resolve the matter.
Personal data and uploaded documents submitted through this portal are not stored indefinitely. In compliance with data privacy standards and storage limitation principles, records are scheduled for deletion or archiving once the requested appointment or grievance has been officially resolved, or after a maximum retention period of one academic year, whichever is earlier. Students also retain the right to request data erasure by contacting the Office of Student Welfare, subject to mandatory institutional record-keeping requirements.
Uploaded documents and meeting notes are stored securely within the University's authorized hosting infrastructure and encrypted databases in accordance with institutional data protection protocols.
